Job Overview – Admin Support Specialist

We are looking for Admin Support Specialists who are enthusiastic and creative. This position will lead you toward being the Operations Manager of an international business. Job Description:

Communication and Collaboration:

  • Facilitate effective communication between team members and external contacts through email, virtual meetings, and online collaboration tools.
  • Schedule, organize, and coordinate virtual meetings, ensuring all participants have the necessary information and technical support.

Time and Task Management:

  • Efficiently manage and update digital calendars, coordinating appointments, deadlines, and team schedules.
  • Prioritize and manage tasks, deadlines, and schedules to optimize workflow for remote team members.

Data Management and Reporting:

  • Accurately input and maintain data, prepare reports, and create/update documentation as required.
  • Monitor and track expenses, prepare expense reports, and assist in budget management for remote operations.

Administrative Support:

  • Manage and respond to emails on behalf of the executive or team, ensuring timely and appropriate communication.
  • Provide remote administrative support to clients and internal team members, addressing inquiries and resolving issues.
  • Draft and edit business correspondence, reports, and presentations remotely as required.
  • Conduct online research on various topics to support decision-making and project requirements.

File and Database Management:

  • Maintain organized and accessible electronic files, ensuring confidentiality and easy retrieval of information.
  • Update and manage databases remotely, ensuring accuracy and completeness of information.

Procurement and Office Supplies:

  • Monitor and coordinate the procurement of virtual office supplies for remote team members.

Technical Support:

  • Assist in resolving technical issues related to remote work setups, ensuring seamless virtual operations.

General Administrative Support:

  • Provide general remote administrative support, including virtual assistance with tasks such as scanning, photocopying, and document organization.

  • High-speed internet access 5 Mbps or faster
  • Power backup (in case you don’t have power backup we will arrange your space in co-working spaces)
